ADDITIONAL COMPENSATION:
  • For Service, Technical Support, Marketing & Sales Roles: Additional compensation is available through either an Incentive and/or Commission Plan.
  • For Employees who reside in Connecticut, Massachusetts, New Jersey, and California, additional compensation is offered through a Cost-of-Living Adjustment (COLA).

POSITION SUMMARY:

The individual is this position is responsible for a wide variety of administrative duties including but not limited to customer communications, record maintenance, data entry, quote generation/administration, and general office support functions for all regional staff. Must be well organized, have the ability to work under limited supervision and be willing to perform other duties that may be assigned from time to time.

Provide administrative support to the Regional Managers and staff. Ensure that the regional office is open and functional during business hours.

JOB FUNCTIONS INCLUDE, BUT ARE NOT LIMITED TO:
  • General Customer Communication via phone and written correspondence. (Daily)
  • Great Plains call generation and administration. (Daily)
  • CRM quotation assistance and back-up. (Daily)
  • Service contract generation/distribution and maintenance. (Daily)
  • Maintenance of Regional Home Page, SSI Portal and Calendar. (Daily)
  • Review, process and post sales booking/shipping reports. (Weekly)
  • Customer contracts/service estimate preparation and distribution. (Daily)
  • Maintain Regional Absence logs (blue sheets). (Weekly)
  • Track/ship regional test equipment and parts. (Weekly)
  • Office opening/ closing / security systems responsibilities. (Daily)
  • General office responsibilities to include greeting office visitors, collecting mail, maintaining office and marketing supplies. (Daily)
  • Coordinate inspections of safety equipment, removal of hazardous waste, and building maintenance. (Weekly)
  • Manage all new order correspondence to the region and customer. (Daily)
  • Regional office accounts payable. (Daily)
  • Submit corporate requests on behalf of Sales. (Weekly)
  • Plan and coordinate regional events. (monthly)

  • SCOPE:

    This position's primary focus is providing administrative support to Regional staff and to ensure the daily operation of the regional office.

    PROBLEM SOLVING REQUIREMENTS:

    Incumbent is required to exercise independent judgment in routine matters governed by either policy or established procedures.

    EDUCATION AND/OR EXPERIENCE REQUIREMENTS:

    Incumbent must have a high school diploma or the equivalent and 2 or more years of experience as an administrator. Effective communication skills are essential.

    SUPERVISORY RESPONSIBILITIES:

    None.

    PHYSICAL DEMANDS:

    This position will require frequent lifting or with other means for movement of boxes and computer components/parts. May include frequent bending, stooping, squatting, standing, walking, sitting for long periods of time and pulling/pushing of parts can also be expected. The Office Administrator must be able to lift up to 10 pounds regularly throughout the day. Specific vision abilities required by this job include close vision, distance vision, peripheral vision and depth perception.

    SAFETY/PERSONAL PROTECTIVE EQUIPMENT:

    Position is required to maintain proper housekeeping and safety standards. Proper use of personal protective equipment and safety devices as required by the Corporate Safety Document policies and procedures, as well as, established regional office protocol.

    WORK ENVIRONMENT:

    This position is based within a regional office location that requires regular and predictable attendance. This position will involve working alone on projects, as well as, collaborating as part of team. . Incumbent may work at different workstations during the day and travel to as needed to complete certain job requirements. Extra hours may periodically be required, in order to fulfill the functions required by this position. The position requires proper handling of public inquires in a prompt and friendly manner.
